Fulcrum was designed specifically for collaborative data collection. Managing users, apps, and records can all be accomplished via the Fulcrum web-based admin tools.
Our pricing model is designed to be simple, predictable, affordable, and scalable. You can choose from three different plans, which increase in features, functionality, and media storage. Each plan has a fixed price per-user per-month with a reduced rate if you commit to annual billing, so you can easily calculate your cost, based on the functionality you need and the number of users you will have. Our self-service billing portal allows you to easily scale up or down as needed, or cancel at any time — and take your data with you.
A named user is a “member” in Fulcrum. Each member must have a unique email to identify that user within the system. User accounts should not be shared with multiple individuals as every record is tagged with the user who created/updated it for accountability and auditing purposes. Each user can have up to two devices associated with their account, but should only ever be actively collecting data with one device at a time. Sharing accounts across multiple devices to skirt licensing costs is a violation of the Terms of Service and could result in termination of your account.
An “organization” is a collection of members within a plan. The features available for the chosen plan are available to all the members within that organization. You cannot have different members with different plan levels in the same organization, however, users can be members of multiple Fulcrum organizations. A user who is a member of multiple organizations will be billed at the organization level. Every organization must have at least one owner and billing email for account administration and invoices.
Fulcrum is a self-serving Software as a service (SaaS) product. Billing is automatically handled with a monthly or annual deduction from the credit card on file. Additional members will be charged a prorated amount the first month they are added.
If you’d like to prepay for your Fulcrum usage versus receiving a charge to your credit card each month for your subscription, you can purchase account credits at any time. When you purchase credits up front, each monthly usage charge will be deducted from the credit amount rather than creating new charges for each account activity. Credits allow you to purchase Fulcrum on your own payment schedule, such as quarterly or annually, based on how your purchasing manager prefers to buy.
If you are on a “Professional” plan with at least 10 full-time members, or any plan with more than 40 members, you may request a custom payment plan (check, ACH / wire transfer).
Member permissions are defined by “Roles.” There are three standard system-level roles included in every Fulcrum organization:
Has access to everything, and the ability to modify the organization settings, subscription information, and create other custom roles.
Has access to the apps that they are given permission to by the owner or another manager. Managers can also grant permission to apps and projects that they have been given access to. Managers can view all records — even if the records are assigned to other members — using the record assignment functionality.
The default user role. The main responsibility of a standard user is to collect data on the mobile device. Standard users will only have access to apps assigned to them by managers and account owners. If record assignment is being used, standard members will only be able to see records that are assigned to them or are not assigned to any member.
Custom Roles can be defined to configure the specific functionality you need for your account’s users. Role permissions apply to any client used for accessing the system, including web, mobile, and the API. The following permissions are available:
Owner Level Permissions
Manage Subscription - Grants access to the billing settings page, where you can change the credit card on file, change the plan type, add or remove media storage, and cancel your Fulcrum plan.
Change Organization Profile - Grants access to the organization profile settings page, where the plan name can be changed, the company address can be set, and an organization icon can be uploaded. This permission also grants access to webhooks settings and the data shares tab on the app’s dashboard page.
Manage Roles - Grants the ability to create and edit custom roles. Since this permission allows users to edit a role that they could have, this role will be able to access all apps, projects, and layers within the plan.
Manage API Tokens - Grants access to the API settings page, where API tokens can be generated, modified, and deleted.
Manager Level Permissions
Manage Members - Grants the ability to add or remove members/users from the plan and the ability to grant or revoke access to all apps, layers, and projects. This permission also allows the ability to change the role of other user accounts that have a role with less or equal permissions to any other role with less or equal permissions. For example, a Manager cannot set another user account role to be an Owner.
Manage Apps - Grants the ability to create or edit apps within the Fulcrum plan, the ability to duplicate an app and share the app with people outside of Fulcrum. This permission also grants access to the settings tab on the app's dashboard page. On this tab, the user can enable or disable the app, as well as, enable or disable projects, record assignment, or hide the app on the mobile device. The only option not available is the ability to delete the app, the role will need to have the 'remove records' permission as well.
Manage Projects - Grants the ability to create/edit projects. Users with this role will only be able to edit projects that they have been given access to.
Manage Choice Lists - Grants the ability to create/edit predefined choice lists.
Manage Classification Sets - Grants the ability to create/edit classification sets.
Manage Layers - Grants the ability to create/edit custom layers.
Records Level Permissions
Create Records - Grants the ability to create new records within apps that the user has permission to access.
Edit Records - Grants the ability to make edits to records that the user has access to within apps that the user account has permission to access on the web app and mobile apps.
Change Status - Grants the ability to change the status of a record.
Change Project - Grants the ability to change the project of a record.
Import Records - Grants the ability to import data into an app. The import can either be updating existing data or creating new data.
Export Records - Grants the ability to export data out of Fulcrum using the exporter or the downloader on the record editor.
Remove Records - Grants the ability to permanently delete records from the web app. Note: If the role also has the permission to manage apps, then they will be able to delete apps as well.
Assign Records - Grants the ability to assign records to other members. Note: This permission also grants the ability to see records assigned to other members.
Run Reports - Grants the ability to generate PDF reports from the web app or the mobile apps for records.
The user’s role will determine the settings they can access:
Member Profile - update user profile, choose an avatar, change password (all roles)
Organization Profile - update organization profile, choose an avatar (owner role)
Billing - change plan type, update credit card info and invoice emails, upgrade storage, cancel subscription (owner role)
Members - add or remove members, edit their role, add/revoke permissions to apps, projects, layers (owner, manager, or custom role)
Roles - manage system roles and custom roles (owner or custom role)
API - create or revoke tokens to access the Fulcrum API (all roles, requires dev pack)
Webhooks - create, manage, or delete webhooks (owner role, requires dev pack)
Audit Logs - review and export user activity logs to perform account audits (owner role, depending on plan)
